Navia registers 97% of eligible pre-alert shipments straight into CargoWise with Wove

Navia Freight's Australian operations leverage Wove to read inbound pre-alerts, pull the data out of the attached documents and create the shipment in CargoWise, in under three minutes on average. The shipments that used to be keyed in by hand no longer are, and that time now goes to exceptions and higher-value work.

The results at a glance

  • 97% of eligible pre-alert shipments registered straight through, with no human touch
  • Under 3 minutes on average from email receipt to sync in CargoWise
  • 250 hours of productive capacity released back to the operation each month
  • The challenge: every shipment started as an email someone had to retype

At Navia, a shipment begins when a pre-alert lands in a shared inbox: a commercial invoice, a packing list and a bill of lading, often bundled into a single PDF. Before that shipment could move, someone had to open the email, read each document, key the details into CargoWise field by field, and then attach the source documents as eDocs by hand.

That work scaled with volume, not with value. Every new account meant more data entry, and the team's most experienced operators spent their day typing instead of handling the exceptions that actually need a person.

The solution: no new system, just the shipment, already in CargoWise

Wove connects to Navia's shared inboxes and to CargoWise through the eAdaptor. Navia's team didn't change how they work. The pre-alerts still arrive where they always did; the shipment is simply already there when someone goes to look for it.

    1. Email arrives. A pre-alert lands in Navia's shared inbox. Wove picks it up the moment it arrives.

    2. Read and split. Bundled PDFs are split into individual documents, classified and extracted.

    3. Validate. Documents are cross-checked against each other and the email, and Navia's rules map orgs, consignees and branches.

    4. Sync to CargoWise. The shipment is created via eAdaptor with source documents attached as eDocs.

Wove is live for Navia across every mode and consol type:

  • Modes: Ocean FCL, Ocean LCL, Air
  • Consol types: Agent, Direct, Buyer's consol, Co-load
  • "The shipments and consols are registered in CargoWise before anyone has opened the email. The team spends its time on the exceptions that actually need a person."

Ian Fleming, Technology and Process Manager, Navia Freight

The results: not just faster data entry, less of it

Today, across Navia's Australian operations, 97% of eligible pre-alert shipments, the ones the team used to register by hand, go straight through into CargoWise without anyone touching them. On average, a shipment is live less than three minutes after the email arrives. That holds across ocean FCL, ocean LCL and air, and all four consol types: agent, direct, buyer's consol and co-load.

Speed is the visible part. The bigger result is capacity. Every shipment Wove registers is one nobody has to key, read back, correct and attach documents to, and together that has released 250 hours of productive time a month back to the operation. Navia's people now spend that time on exceptions, customer questions and higher-value work, and volume can grow without data-entry headcount growing with it.

The remaining 3% isn't a gap in the automation. It's the shipments where the source documents, or context from the email, genuinely disagree: a carton count that doesn't match between invoice and packing list, a weight that's off by a transposed digit, an email that says something different from the paperwork. Wove flags those for a person to review, with the conflicting fields side by side.

  • No new system for the team to learn: work starts and ends in the inbox and CargoWise
  • Source documents attached to every shipment as eDocs, automatically
  • Productive hours released back to the operation, not just faster processing
  • "The goal was never just faster data entry. We wanted to remove the data entry completely. Wove now registers the majority of these shipments straight through into CargoWise, releasing capacity back to the operation and allowing our people to focus on exceptions and higher-value work."

Brendan Borg, Chief Information Officer, Navia Freight

What's next: from one workflow to the whole group

Navia is extending Wove across the group: consol pre-alerts for Consol Alliance are already live on sea and air, and Navia's US and New Zealand operations are next.
